Operations Order Processing Specialist

This ideal candidate possesses excellent organizational and interpersonal skills, a strong work ethic, high energy, and the ability to work without a great deal of structure and supervision, and the desire to succeed. This candidate should also possess outstanding attention to detail and experience in a general office setting.


  • Evaluate incoming orders for MadCap Software against customer purchase order and system information to ensure order aligns with licensing requirements, pricing, discounting and revenue recognition policies
  • Provide daily assistance to Sales team to ensure orders are accurately processed through Salesforce and internal operations database
  • Generate and review order confirmations
  • Daily communication with Sales, Information Systems and Customer Service teams to ensure data and system integrity
  • Participate in weekly sales meetings

This position will report to Director of Customer Service, as such the position will also be cross-trained in certain aspects of customer service including:

  • Providing telephone or email assistance with software license registration
  • Troubleshooting product registration issues
  • Researching customer accounts regarding past purchases, expiration of maintenance plans and license registrations
  • Assisting with other ad hoc office duties as needed

Candidates must possess the following competencies

  • Bachelor’s Degree in Business, marketing or similar field preferred
  • 3+ years of experience in Order Processing and Data Entry
  • Able to work in a fast-paced, entrepreneurial environment.
  • Excellent attention to detail and problem solving skills
  • Excellent Verbal and Written Communication skills
